STATUS & DOCUMENTS

EU Settlement Scheme (EUSS) for Italians — Prove & Update Your Status (2025): Share Codes, New Passport, Travel & Common Fixes

Why this guide (and how it prevents delays)

Many delays happen because someone asks for the wrong document, or your EUSS record has an old passport number. This page gives you a clean path: create the correct purpose-specific share code, update your document details, and use copy-paste scripts if HR or agents are unsure. All in Easy English with a few Italian notes.

  • Share code: the right one for Right to Work vs Right to Rent.
  • Update a new Italian passport in minutes (and keep proof).
  • Recover sign-in, fix common errors, and travel calmly.

1) EUSS in 60 seconds

Digital status

  • No plastic card by default. Use online share codes.
  • Keep your contact info and passport details updated.
  • Save confirmations and screenshots in a “Status” folder.

Pre-settled vs settled

  • Pre-settled: limited; can be extended; can lead to settled.
  • Settled: generally permanent, but keep details updated.
  • Always read the text in your record for conditions.

Proving status

  • Choose the correct purpose: RTW or RTR.
  • Code + date of birth → checker views your record.
  • Codes expire; send fresh ones when asked.

Nota italiana: “status digitale” = digital status; “codice di condivisione” = share code; “lavoro” = Right to Work; “affitto” = Right to Rent.

2) Share codes: Right to Work / Right to Rent

Step-by-step (Right to Work)

  1. Sign in to the official “View and Prove” service.
  2. Select “Prove your right to work”.
  3. Generate a code; note the expiry window.
  4. Send code + your date of birth to your employer.
  5. Keep a record of what you sent and when.

Step-by-step (Right to Rent)

  1. Sign in to “View and Prove”.
  2. Select “Prove your right to rent”.
  3. Generate a code specific to renting checks.
  4. Send code + your date of birth to the agent/landlord.
  5. If they insist on a card, use our polite script below.

If your employer/agent uses a different system, ask them to run the official Home Office check linked from the View and Prove page. The result they see is the authoritative one.

PurposeUse this code typeWho checks itNotes
EmploymentRight to WorkEmployer / HRSend code + DOB; may ask to repeat at renewal.
RentingRight to RentLetting agent / LandlordUse renting code only; saves confusion.
Bank KYC (identity)Typically they accept passport + proof of addressBank KYCSome banks accept share code context; follow their KYC list.

3) Update your new Italian passport (how-to)

If you renewed your Italian passport, update your EUSS record so the passport number matches at checks and borders. Keep the confirmation in your records. Small mismatches (name accents, hyphens) can cause confusion—use the exact format shown on your new passport.

A) Prepare

  1. New passport (number, dates, country).
  2. Access to your EUSS account (email/phone/document).
  3. Stable internet (desktop browser preferred).

B) Update

  1. Sign in → “Update your details”.
  2. Choose “Update your document details”.
  3. Enter the new passport number and dates carefully.
  4. Submit and keep the on-screen confirmation.

C) Confirm

  1. Log out and back in to see changes reflected.
  2. Generate a test share code and view the record yourself.
  3. Save a PDF or screenshot for your “Status” folder.

Nota italiana: “aggiornare il passaporto” = update your passport; “conferma” = confirmation/screenshot.

4) Can’t sign in? Recovery steps & fixes

Fast checklist

  • Try email route; then phone route; then document route.
  • Check spam and SMS blockers; request a fresh code.
  • Use a desktop browser; clear cache or private tab.

Common issues & fixes

  • Old phone number no longer accessible: Try email code route, document sign-in, or contact support to update your contact method.
  • Email changed / inbox lost: Use phone route or recovery; once in, add a new email and keep it verified.
  • Document number changed (new passport): Sign in using old details if possible and then update; if blocked, use document update path or support.
  • Browser or device problems: Try a different browser (desktop), clear cache, use private tab, ensure time/date are correct.
  • Code entered but page loops: Restart sign-in, request a fresh one-time code, avoid autofill issues; try manual entry.

If you still can’t access

Use the official support contact from the View and Prove page and keep your details at hand: full name, date of birth, nationality, previous and current passport numbers, old email/phone if changed, and any reference numbers from your EUSS application.

5) Pre-settled → settled: evidence checklist

To move from pre-settled to settled, you generally show qualifying residence. Keep a clean folder with monthly proofs. When you’re eligible, follow the official application steps and upload clear scans if requested.

Evidence to prepare

  • Proofs of UK residence across the relevant period (pay slips, bank statements, tenancy, council tax, utility bills, official letters).
  • Travel history details if requested (entry/exit stamps or records).
  • Name change documents if relevant (marriage certificate, deed poll).
  • Consistent address history and any gaps explained in a short note.

Quality tips

  • Name/address visible; month/year clear; no cut-off edges.
  • Use PDFs when possible; rename files clearly (e.g., 2025-01_bank_statement.pdf).
  • Explain any long gaps with a short, polite note.

Read current eligibility text in your record and official pages; rules and wording can evolve.

6) Travel & boarding checks (practical)

Before you travel

  • Make sure your passport is valid and matches your EUSS record.
  • Keep a copy of your share-code page or confirmation email if you like (not always needed, but reassuring).
  • Arrive early; carriers may run document checks at boarding.

At the border

  • Use the same identity details as in your EUSS record.
  • Answer simple questions politely; keep a calm tone.
  • If something mismatches, refer to your updated details and be ready to log in if asked.

Policy and carrier procedures can vary. Keep your passport current and your EUSS record updated—this prevents most problems.

7) Polite scripts for HR, agents & banks

Use these copy-paste messages when someone asks for a “card” or the wrong document. Stay friendly and specific.

Employer cannot verify Right to Work

Hello,

I hold EU Settlement Scheme status. It is digital-only; there is no physical card to show.
Please use the official Home Office checker with this share code: <XXXX-XXXX-XXXX> and my date of birth <DD/MM/YYYY>.

If you need the link, I can send it as well. Thank you!

Letting agent asks for a plastic card (Right to Rent)

Hello,

My status is under the EU Settlement Scheme and is proven digitally.
Please use the Home Office Right to Rent check with this share code: <XXXX-XXXX-XXXX> and my date of birth <DD/MM/YYYY>.
Let me know if you need the checker link. Thanks!

Bank KYC asks for a BRP/physical proof

Hello,

For EU Settlement Scheme status the proof is digital. I can provide a share code to view my status.
If you need additional identity documents, let me know which ones you accept (passport, proof of address, etc.).
Thank you!

8) Children, linked records & name changes

Children

  • Make sure each child’s record is accessible to a parent/guardian.
  • Keep birth certificates and passports organized.
  • Update details when documents change or expire.

Name changes

  • Update your name consistently across passport and EUSS record.
  • Keep evidence (marriage certificate, deed poll).
  • Use the exact spelling/accents shown on official documents.

9) Myths & mistakes to avoid

Myth

You must show a plastic card for EUSS.

Reality

EUSS is usually digital-only. You prove with an online share code. Some people may have a BRP for other reasons, but EUSS proof is primarily digital.

Myth

Any share code works for everything.

Reality

Codes are purpose-specific. Use a Right to Work code for employers and Right to Rent code for landlords.

Myth

You cannot update your passport online.

Reality

You should update your document details in your EUSS account so checks match your current passport.

Myth

Pre-settled means you cannot work or rent.

Reality

Pre-settled allows work and rent. Check your exact conditions in your record and keep it updated.

Myth

If I changed email/phone, I lost my status.

Reality

Your status remains. Use recovery steps to regain access and then update your contact details.

FAQ (onsite)

The employer’s system says it needs a physical card—what do I say?

EUSS is digital-only. Send the Right to Work share code and your date of birth; invite them to use the official checker. Copy the polite script above.

My agent wants a BRP for Right to Rent—do I need one?

Not if you hold EUSS digital status. Provide a Right to Rent share code + DOB and the checker link. Use the script if needed.

My new passport number doesn’t show on my record yet. Can I still travel?

Update as soon as possible. Keep both passports if available until systems reflect the new number. Follow airline/border guidance on the day.

How long do share codes last?

They expire after a short window (check the creation screen). Create a fresh code if the old one expires before the checker uses it.

Can I use the same code for work and rent?

No. Use the correct purpose each time: “Right to Work” for employers and “Right to Rent” for landlords/agents.

This guide is general information, not legal advice. Processes and wording on official websites can change. Always follow the live instructions shown in your EUSS account and any official notices given to you.

  2. Letting agent asks proof → Generate Right to Rent code → Send with DOB.
  3. They ask for a card → Reply with polite script + official checker link.

Appendix D — Employer onboarding: what HR expects

Your part

  • Send RTW code + DOB on time.
  • Make sure your name matches your passport spelling.
  • Bring passport if HR needs identity for payroll records.

Their part

  • Use Home Office checker; save a compliant copy.
  • Avoid asking for a non-required card if EUSS is digital.
  • Ask for a fresh code only if the previous expired.

Appendix E — Right to Rent: referencing notes

Some agents use third-party portals and still request uploads. If they insist on a “card”, remind them EUSS is digital and provide the RTR code. Keep the tone friendly.

Appendix F — Screenshots to keep (privacy-safe)

  • Confirmation screen after updating passport details.
  • The “Your status” page (blur sensitive data if stored in cloud).
  • Any messaging with HR/agent that confirms they received your code.

Appendix G — Accents, hyphens and name formats

Use the exact spelling on your passport. If a system rejects accents, keep a note of the canonical spelling you submitted and ensure consistency across bank, payroll, and renting systems.

Appendix H — Extended script for confused checkers

Hello,

My status under the EU Settlement Scheme is digital.
Please use the official Home Office online check for this share code: <XXXX-XXXX-XXXX> with my date of birth <DD/MM/YYYY>.
That page will display my status and the evidence you should keep for compliance.

Thank you for your help!

Appendix I — If the checker sees an error

  • Ask them to try again with a fresh code.
  • Ensure they chose the correct purpose (RTW vs RTR).
  • Confirm they entered your date of birth in the correct format.

Appendix J — Lost/stolen passport: what to do

  • Report and renew via the Italian authorities as required.

I have updated my EUSS record with my new Italian passport details today.
Please find attached a screenshot/confirmation of the update.

Best regards,

Appendix N — Self-audit: 7-point quick check

  1. Record accessible? (Sign in works)
  2. Email and phone verified?
  3. Passport number current?
  4. Name matches passport spelling?
  5. Proofs of residence saved monthly?
  6. Scripts ready for HR/agent?
  7. Backup share code plan (you know how to generate fast)?

Appendix O — Browser & security tips

  • Use a private tab for sign-in if autofill causes loops.
  • Store confirmations offline as PDFs for long-term access.
  • Never share your full sign-in codes with third parties.

Appendix P — Marriage or legal name change

Update your passport first (if that’s your plan), then align your EUSS record to match. Keep the certificate or deed poll ready if asked during updates.

Appendix Q — What HR saves for compliance (typical)

  • Official checker result page for your share code (PDF/screenshot).
  • Date and person who performed the check.
  • Follow-up date if a time-limited check is required.

If a portal requests uploads only, message the agent to say you will provide the official Right to Rent share code. Many portals allow free-text notes—use them to paste the code.

Appendix S — Travel prep: 6 quick points

  1. Passport valid and matches EUSS record.
  2. Keep sign-in access in case you want to show your record.
  3. Arrive early during busy times.
  4. Keep any supporting ID as required by carriers.
  5. If new passport just issued, bring old one if still in your possession (if allowed) as back-up reference.
  6. Be polite and consistent if asked questions.

Appendix T — Short note to explain evidence gaps

During <month/year> I was temporarily living with family and did not receive separate bills.
I have included alternative evidence of residence (GP letter/bank statements) for this period.

Kind regards,
<Your Name>

Appendix U — Address changes

Update your address across systems (bank, GP, HMRC, EUSS contact details). Keep Council Tax and utility letters as fresh proof for other processes.

Appendix V — If someone refuses the official check

Stay calm; send the extended script and the official link again. Offer to re-generate a fresh code. If they still refuse, ask for written reasons and keep a record.

Appendix W — Phone vs desktop sign-in

  • Desktop helps avoid app/browser autofill issues.
  • Phone is fine once your details are stable.
  • Keep both options available when traveling.

Appendix X — Template: ask agent to use official RTR check

Hello,

My Right to Rent proof is digital under the EU Settlement Scheme.
